Baseball/Softball Board Leadership Responsibilites
Expectations of the Board
- Organizational leadership and advisement
- Organization of the board of directors, officers, and committees
- Formulation and oversight of policies and procedures
- Financial management, including adoption and oversight of the annual budget

- The board of directors meets September through August. Meetings typically last 90 minutes.
- Committees of the board meet an average of four times per year, pending their respective work agenda.
- Board members are asked to attend no more than two special events or meetings per year, as they are determined.
- Attend and participate in meetings on a regular basis, and special events as able.
- Participate on a standing committee of the board, and serve on ad-hoc committees as necessary.
- Be alert to community concerns that can be addressed by (name of org) mission, objectives, and programs.
- Help communicate and promote (name of org) mission and programs to the community.
- Become familiar with (name of org) finances, budget, and financial/resource needs.
- Understand the policies and procedures of (name of org).
- Financially support (name of org) in a manner commensurate with one’s ability.
Job Descriptions of the Board
President
- President presides at league meetings, and assumes full responsibility for the operation of the local league.
- The President receives all mail, supplies and other communications from the Little League International.
- The President must see to it that league personnel is properly briefed on all phases of rules, regulations and policies of Little League.
- The League President is the contact between the local organization and Little League International.
Vice President
- The secretary maintains a register of members and directors, records the minutes of meetings, is responsible for sending out notice of meetings, issues membership cards and maintains a record of league’s activities.
- The Treasurer signs checks; dispenses league funds as approved by the Board of Directors, reports on the status of league funds, keeps local league books and financial records.
- Prepares budgets and assumes the responsibility for all local league finances.
- Treasurer also prepares an annual financial report for submission to the Membership, Board of Directors and Little League Headquarters.
- The player agent is in charge of player selection, recording all player transactions and maintaining accurate records
- Assists President in checking birth records and eligibility of players
- Prepares and submits team rosters to Little League Headquarters
- Generally supervises and coordinate the transfer of players to or from the minor leagues, according to provisions of the regulations of Little League.iption
- The Director of Softball conducts assessments and recruits players
- The Director is a liaison between the softball managers, coaches and families and the Board.
- The Director also recruits managers and coaches for recommendation to the President
- The Director represents the League in all interleague meetings for their respective divisions.
- The Director of Baseball conducts assessments and recruits players
- The Director is a liaison between the baseball managers, coaches and families and the Board.
- The Director also recruits managers and coaches for recommendation to the President
- The Director represents the League in all interleague meetings for their respective divisions.
- The Safety Officer coordinates all safety activities
- Ensures safety in player training
- ensures safe playing conditions
- coordinates reporting and prevention of injuries
- solicits suggestions for making conditions safer, and reports suggestions to Little League International through the league President.
Additionally, the Chanhassen Little League specific duties include:
- Reviews, revises and submits yearly safety plan
- Schedules first aid training class
- Picks up first aid kits from storage locker and refills/replaces kits
- Distribute kits to manager/coaches at coaches meeting, have coaches sign out for their kit
- Attend team safety officer meeting
- Follow-up with coaches if they need extra first aid supplies
- Follow-up with families/coaches if injuries occur within required time period
- Sets up and manages league’s official web site
- Assigns online administrative rights to other local volunteers and ensure that league news and scores are updated online on a regular basis.
- The person also collects, posts and distributes important information on league activities include direct dissemination of fund-raising and sponsor activities to Little League, the district, the public, league members and the media.
Tournament/Travelling Director
Other Non-Board position responsibilities
- The equipment manager develops budgets for new equipment
- Inventories of all equipment owned by the League
- Purchases new equipment within the limits of the budget
- Maintains and organizes the league's equipment
- Distributes the equipment to teams
- Collects the equipment at the end of the season.
Age Coordinator
Purpose: The age coordinator will ensure the implementation and adherence of all Little League rules, both locally amended and as designated in the official rules. The age coordinator will fully understand the specific local and age specific rules necessary for his/her division. Additionally the age coordinator will field and settle all age specific questions while being a liaison between the Board and other age coordinators before, during, and after the completion of the season.
- Input into upcoming age team and player numbers.
- Communicating and gathering all required paperwork for our League, including volunteer applications, managers, parents, players codes of conduct, medical release forms, birth certificate copies, safety manuals, and medical release forms.
- Involvement in setting up of the playing season schedule.
- Sitting on and participating on the yearly evaluation sub-committee (Jan-April). This will include participating in the evaluation event.
- Managing and coordinating your specific age division draft.
- Shared responsibility (along with board members and the Baseball/Softball Coordinator) for recruiting appropriate managers and assistant coaches.
- Participate in the planning for pre-season coaches training activities.
- Making recommendations to the board and/or competition committee on recommended rules changes/suggestions for the upcoming year.
- Managing game environments during the season as per our League’s guidelines for fun, fair, and enthusiastic play.
- Working with individual coaches and parents when/and if misunderstandings occur regarding the league, team, rules, players, etc.
- Support in coordinating all activities associated with in-season and post season tournament play as appropriate for each division. (This can include a review of tournaments to play in, signing up for these tournament, and recruitment of coaches for these teams.)
- Weekly, or as appropriate, communication to the coaches and managers regarding all aspects of a fully functioning league, including and not limited to: team pictures, on field equipment status, ensuring team equipment needs are up to date,
- Involvement in mid season jamboree and it’s purpose and expectations.
- Ensuring communication and support for all of the required and very necessary volunteer activities during the entire period of your position.
- Ensure clear channel of communication with the umpire coordinator and is responsible for ensuring notification of any game date/time changes are reported on a timely basis.
- Will hold a minimum of 1 in season coaches meeting to review season to date and to review rules and misc observations and to field input from the division coaches.
Umpire Coordinator
Pre-Season Activities

Season Activities - Passive
- Collect and verify umpire pay sheets
- Provide umpire pay sheets and summary to the league for payment
- Confirm umpires who worked league games played for post audit
Post Season Activities
- Collect and Inventory umpire equipment
- Post audit – games worked vs games paid per umpire
- Submit final umpire pay sheets and summary to CLL
